LEMOINE Program Services, a Birmingham Alabama division of LEMOINE, a Great Place to Work®-Certified company, is looking for an Executive Office Assistant. The Executive Office Assistant serves as an extension of the President of Program Services as well as the office, providing a broad range of administrative services to support the goals of Lemoine Program Services, as well as the overall mission of the organization. The Executive Assistant must be creative, have a positive attitude and enjoy working within an environment that is mission-driven, results-driven, and community-oriented. The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

Location: In-person Birmingham, AL


  • Plans, coordinates, and ensures the schedule of the division's business is followed and respected; provides "gatekeeper" and "gateway" role, creating win-win situations for direct access to the President's time and office.
  • Perform office administrative duties including maintaining computerizing files, typing correspondence, overall office management, operating office equipment, client, and partner communication, organizing meetings, helping with overall operational items related to the business, etc.
  • Coordinate logistics and operations for local and off-site meetings and events.
  • Prioritizes conflicting needs; handles matter expeditiously, proactively, and follows through on projects to successful completion, often with deadline pressures.
  • Assist in the monthly financial work from an invoicing, invoice processing, and other related monthly business cycle items.
  • Meeting Coordination and building/editing meeting agendas.
  • Assisting in Business Development and Marketing of the business. Will be integral in the Client Relationship Management software for the Division.
  • Majority of work is office centric and is based upon regular 40-hour schedule. Opportunities for some remitted work and flexible hours are a potential, but not guaranteed.

Required Qualifications:

  • High School Diploma or equivalency; Preference is given to a bachelor's degree.
  • Three or more years of experience working in a demanding executive environment
  • Efficient in the use of software such as Word, Excel, PowerPoint, and Adobe Professional.
  • Excellent interpersonal skills in fostering and maintaining relationships in a project team environment
  • Excellent communication skills, especially in written correspondence and technical writing
  • Must have strong time management and organizational skills to cope effectively with deadlines and multiple demands
  • Must be detail-oriented, results-driven, and excellent at multi-tasking
  • Proficiency in using standard office equipment such as computer, fax, photocopier, scanner, etc.
  • Demonstrated track record of being a team player with a positive attitude
